Montana HVAC Equipment Refinancing for Commercial Contractors
Montana contractors refinance HVAC gear to reset cash flow, replace aging boilers and RTUs, and free up capital for winter-ready projects in a short season.
What we see in Montana
In Montana, the jobs we refinance are usually not abstract finance exercises. They are a rooftop changeout in Billings, a boiler-room rebuild in Great Falls, a packaged-unit retrofit for a Kalispell retail strip, or a controls upgrade in Missoula that has to land before the weather turns. That is where hvac equipment financing for commercial contractors stays useful: it lets us clean up the old ticket without stopping the next bid cycle. The buyers are usually mechanical contractors, service shops, and design-build firms that work on RTUs, boilers, makeup-air systems, controls, and refrigeration. They are small to mid-size operators with crews to keep busy, not giant national platform accounts, and they usually want one thing: reset the payment and keep moving on the next Montana project.
What changes here
Montana is a heating-state market. Freeze protection matters, winter service calls matter, and a failed boiler or RTU in January is not a nuisance, it is an emergency. That changes how the file gets handled. The state building codes program says local building-code enforcement programs must be certified, and it enforces a uniform state building code statewide for residential and commercial buildings across Montana. It also handles annual inspections for boilers and elevators. For us, that means the refinance should line up with the actual project trail: permit, inspection, closeout, and proof that the equipment is installed where the quote says it is. In towns with tighter code enforcement, that paperwork matters before the snow and the service backlog hit at the same time.
How the refinance is usually structured
Most Montana contractors end up in one of three structures. A term loan is the cleanest when the goal is to refinance an existing equipment note, stretch the payment, and own the asset at the end. A lease buyout works when the machine is already in the building and the contractor wants to clear the old obligation without reworking the whole project. A line of credit is better when the need is working capital for parts, controls, or multiple smaller replacements across western or eastern Montana, where crews may be moving between towns and the schedule changes by the week.
The numbers are straightforward. Standard equipment financing usually runs from $10K to $5M, with 8% to 25% APR and funding in about 3 to 7 days. Lines of credit are usually $10K to $250K, can be set up in 1 to 3 days, and support same-day draws once they are open. We also see Montana contractors use a refinance to pull in related job costs when the file supports it, including install labor, curbs, duct changes, controls, and freight. If the package includes new qualifying equipment, Section 179 can still matter; the current deduction limit is $1,220,000.
What we ask for
On the lighter-credit side, we generally want at least 6 months in business and a 580 FICO floor, plus enough revenue and bank activity to show the payment is real. If the contractor wants SBA 7(a) instead, the bar is different: 24 months in business, around a 640 FICO floor, at least $100K in annual revenue, and a longer 30 to 90 day approval window. That can make sense for larger Montana projects, but it is not the fastest route when a roof unit or boiler has already failed.
For a Montana refinance, we usually ask for the entity documents, EIN, two years of business tax returns, 6 to 12 months of business bank statements, year-to-date profit and loss, balance sheet, equipment quote or invoice, serial numbers if the units are already installed, payoff statement for the current lender or lessor, contractor insurance, and any permit or inspection records tied to the job. If the project runs through a city or county with a certified local code program, we want that permit trail too. The cleaner the packet, the faster we can move the file from question to funded capital.

Frequently asked questions
Can we refinance more than one HVAC unit on a Montana project?
Usually yes if the equipment sits in the same business entity and the payoff pieces are clean. We often bundle several RTUs, boilers, or controls packages into one payment when the paperwork lines up.
Does a Montana permit trail matter for a refinance?
It does. If the job ran through a city or county with a certified local code program, we want the permit and inspection record ready so the file matches the installed equipment.
Is a line of credit better than a term loan for Montana contractors?
A line works better for staged buys, parts, and smaller service jobs. A term loan is better when you want to refinance an old balance and lock in one fixed payment.
